Document check against a rule set

What this does

Task menu ▸ Analyze ▸ Document Check

Checks a document against a rule set – a stored list of checkpoints. Each rule is applied separately, and the findings can land as Word comments at the passage concerned.

Meant for recurring reviews: draft contracts against your own clause policy, reports against formal requirements.

Requirement: a rule set

Nothing happens without one. The add-in then tells you either that no paths are configured or that no rule sets were found in the configured paths. Both are set up by your administrator.

Edit Script Files lets you view and change the existing rule sets.

The scope

With nothing selected, the add-in asks whether the entire document should be checked. If there is no text at all, it says so.

The parameters

• Rule Set to use – which of the sets found is applied.
• Check as only one clause – treats the whole selected text as one unit instead of splitting it into clauses. Not every rule set can do this; if it does not fit, the check aborts with a note.
• Add additional context – brings in other open documents, for instance the framework agreement behind the individual contract in front of you.
• Output as Word bubbles – the findings appear as comment balloons at the passage concerned. Usually the most usable form.
• Bubbles multiclause summary – adds a summarising comment as well.
• Other instructions and Language of output.

The run

The rules are worked through one at a time; the progress shows "Analyzing rule N of M". With many rules and a long document that takes correspondingly long – each rule is its own request. At the end the add-in gives you the analysis time.

What the result is and is not

The findings are pointers, not decisions. Both error directions occur:

• A rule fires where there is nothing – irritating, but obvious.
• A rule does not fire where there is something. An empty check does not mean the document is in order.

Use the check as an extra net, not as a substitute for reading it yourself.

When it does not work

• "This rule set contains no valid records." – the rule file is damaged or wrongly structured.
• "the AI service returned no result." – usually temporary; a second attempt often helps.
• "There are no other documents to add" – you chose additional context but only one document is open.
